Anthology Student 25.2.0 contains product enhancements and resolutions for Academic Records, Common, Contact Manager, Events, Financial Aid, Internationalization, and Student Accounts.
Anthology continues to improve performance and reliability in the product as described in the Resolutions section of the release notes as applicable.

Academic Records
Enhancement to Requirement Rules, Pool Conditions Tab and View Pool Condition Options
Intended to help institutions configure and enforce more complex elective pool conditions and requirement rules, this release introduces significant enhancements in Requirement Rules and Elective Pools.
With the Elective Pool feature, you can view pool conditions associated with Elective Pools. This option allows you to see the student's elective requirements with and/or logic indicated and their fulfillment status. The elective pool condition is Fulfilled if the requirements of the conditions are fulfilled. If you try to add a new course that does not satisfy the conditions of the pool, a warning message is displayed to alert you.
Elective Pool grid actions in Degree Progress Audit and Degree Pathway concerning course statuses and fulfillment status in the View Pool Conditions popup have been enhanced. This addresses:
- Normal Elective Courses
- Retakes
- Repeats
- Manual Fulfillment
- Min GPA - Unfulfilled (Low grade) course status.

With the Enable Rule Based Requirement Rules and Levels advanced feature option on, you can specify more complex requirements using operators with any or all the characters you specify in the codes for course characteristics. A requirement rule reviews applicable courses and applies them until all requirements are satisfied, displaying them in the Applied Courses section of the DPA Requirement Rule Audit tab. At the Program level, it consumes all courses listed under PV(s) and AoS(s), including EPs, while at the PV level, it pulls courses from the PV course list, AoS course list, and EPs to fulfill the student's requirements.
You can add requirement rules conditions to manage and enforce course requirements by defining specific conditions and constraints. You can also create condition groups. You can add requirement rule conditions based on the program requirements.
Course Requirements Enhanced to Include External Institution
Advisors and Registrars often need to know not only that a course requirement has been fulfilled by a transfer course in the DPA but also which institution the transfer course came from. Upon significant customer request in the Idea Exchange, with 56 votes, the DPA Course Requirements grid has been enhanced to include a new column: External Institution. This update ensures that students and staff can view the full external institution name instead of relying on institution codes, enhancing clarity and usability. By default, this column appears above the Transfer Information column in the standard web client interface.
Location - Select the Students tile > select the name in the Students list > expand Academic Records > select the Degree Progress Audit tile.
Student Number Included in All Reports for Clear Identification of Students
In a small change that we hope significantly improves experience in reports, this release introduces changes to reports for clear identification of students. This change was highly requested in the Idea Exchange with 80 votes from our clients to support this within the product!
- Several reports will now include student numbers, serving as a unique identifier
- Reports will remain functional and informative even when SSNs are hidden for security or privacy reasons, as we have added the Student Number to these reports
The Student Number field has been added to the following reports:
- Career Services Module- Placement Salary
- Contact Manager Module - SEVIS Export
- Financial Aid Module - COD Grant Origination Status Report, Disbursement Batch Tracking, Disbursement Batches Not Reconciled, Pell Analysis
- Student Account Module - Account Aging, General Ledger Posting Detail, R2T4 Lump Sum Report, Revenue Summary, Title IV Credit Balance
- Student Services Module - Athletics Equity Report
Default Print Size for Some Reports Set to 8.5 X 11 inches
With 57 votes in the Idea Exchange supporting the request, a few reports have been modified to change the print page size to default US size, 8.5 x 11 inches (Letter). This modification ensures that the default size for the following reports is changed to 8.5 X 11 inches. The list of reports are as follows:

AI Product Guide (Help AI)
The AI Product Guide (Sidecar) introduces a generative AI assistant designed to enhance user understanding and navigation of the Anthology Student product for Anthology Cloud 1 and 2 customers. This assistant leverages Azure OpenAI GPT-4o and Azure AI Services to deliver contextual help based on curated internal product help and additional produce guide information and documentation, without accessing student or school data.
The key features in the initial implementation phase include:
- Opt-In Activation: Institutions can enable the assistant via the feature flag “Enable AI Product Guide” in Settings > System > General
- Customer must have permissions to Anthology Student (authentication) and authorization to view the main page of the product.
- Home Page Integration: A link to the assistant appears in the toolbar near the Help section on the main page when enabled
- Clicking to open the assistant opens a chat interface as a “sidecar” to the right of the product. It cannot today be opened in a separate browser window. Disconnecting from the Student web application, disconnects the user from the AI Services. Only one instance of the Help AI can be open per user session.
- A 7-day chat history is stored per user and can be cleared using the Clear Chat option. This allows query resumption when the user returns to the product within the 7-day window.
- As a generative AI, the AI Product Guide (Help AI) has expected generative AI capabilities like language translation and generation of new content (such as comparatives or job aids) from the provided, curated materials.
Contact Manager
Nationality and Citizenship Properties Introduced to the Student Object in Data Views
The Nationality and Citizenship properties have been introduced to the Student Object in Data Views, to allow staff members to create and modify the view using these properties. With 10 votes in the Idea Exchange supporting this enhancement, Staff members can now also export data for these properties into Excel/PDF reports, improving accessibility and reporting capabilities.

Financial Aid
Enhancement to the Aggregate FA Term Information Page
With Student 25.2.0, in conjunction with Regulatory US 25.7.0, the Aggregate FA Term Information page has been updated to capture course-level information along with the source and credits associated with financial aid (FA) and academic records (AR). The Cumulative FA Credits value for the student has been added at the top of the grid.
Staff members can expand the program version records on the page to view the child records associated with the program versions. The child records provide the following details:
- Academic Credits
- Child Term Code
- Course Code - The Course Codes that are registered for the selected program version can have suffixes that indicate the following:

- Retakes from 1st attempt and forward: "_Retake_x" (where x = 1, 2, 3,... n)
- Remedials: "_Remedial"
- Course Status - The Aggregate FA Term Information page updates data when the following course status changes occur:
- Registration
- Unregistration
- Withdrawal
- Drop
- Current
- Completed (Courses in Future status are not displayed.)
- FA Credits - The field shows the actual FA credits when the course is eligible for FA Calculation. Otherwise, the value will be zero (0).
- History - The History column will display a link that opens a pop-up if the value of the "Include in FA Calculation" field has been modified. The pop-up will contain the date of the modification, the username, and the comment text.
- Include in FA Calculation - When the courses are loaded, the system determines which courses should be included in FA Credits Calculation. If the course is eligible for FA Credits, the system sets the value to Yes. The default value is No if the course is not included as part of the initial course list, not included as part of Areas of Study or Electives/Substitutions or has been retaken more than 2 times. The column is editable, unless the terms are closed out (i.e., if the current date is greater than the Term End Date). A comment is required when the value is edited, and Save is selected. The updated value is retained even after multiple attempts to register/unregister, or when the course status changes.
- Program Version Code
- Source - This column indicates how these courses are added. The possible values include Program Lists, Areas of Study, Electives/Substitutions, and Blank (when the course source does not fall in any of the listed conditions).

Redesign of the Results Grid in Approve Disbursements to Pay
The Results grid, on the Approve Disbursements to Pay page no longer shows all records as selected by default, and the behavior of record selections has been redesigned for consistency with other grids in the web app interface.
By default, none of the records are selected when the grid is loaded. To select all the records on the page, users can select the check box in the column header. Users can also select or clear the check boxes for individual records.

Housing Status Code Added to Student Profile Header
In the header of the Student Profile, staff members can now add or remove the Housing Status Code field. The profile header will reflect the Housing value from the student's current academic year. Every profile page load extracts the current Housing value and refreshes the Housing Status Code.
The following conditions apply:
- If there are gaps between academic years and the profile page is loaded during the gap period, the profile header displays the Housing value of the immediately following academic year.
- If the academic year does not have a Housing value, the Housing Status Code will be blank in the profile header, unless student fills in the Housing Status from the Anthology Portal.
- If a student is not enrolled but has a housing status, the profile header will display the housing status value saved from the Portal. Once the student is enrolled, the value will be derived from the enrolled academic year.
- If multiple Housing Statuses are found for different award years for the same student, the current date will determine which award year’s housing status code is displayed.
- If no current academic years are found, but past award years exist, the past years’ housing statuses will not be displayed in the profile header.
When the student is enrolled in multiple programs:
- If the programs are in different academic years, the profile header displays the Housing value of the current academic year, regardless of the enrollment.
- If the academic years of multiple enrollments have the same start date or the end date, the profile header displays the Housing value of the academic year from the latest enrollment.
- If the latest enrollment Housing value is not found, the profile header displays the Housing value of the other enrollment.

Internationalization
Translations for System-defined Locales
Anthology Student 25.2 0 introduces the following system-defined locales:
- English (United States)
- Spanish (Latin America)
- French (Canada)
Anthology maintains the translations for the system-defined locales. The system-defined locales automatically update the resource files after each system upgrade. Any interface elements introduced by an upgrade will have been translated in the system-defined resource files and don't require translations by the customer. The Download System Resource File has been added to the Internationalizations page along with the grid columns "Active Resource File" (values: Custom or System) and "System Defined" (values: Yes or No).
Student Accounts
Sync 'Known as' from FHP to Preferred Name of Staff - Student
In integrated systems, Anthology Finance HR & Payroll passes the value of the "Known As" field under Human Resources > Workers> Employees Profile Tab - Name details to the "Preferred Name” field in Anthology Student under Settings > System > Staff.
If data already exists for "Preferred Name" and “Known As" is updated, the current value for "PreferredName" is updated. If "Known As" is blank, the current value for “Preferred Name" is not replaced.
Since the field length of "Preferred Name" is 50 characters and "Known As" is 160 characters, the "Known As “value is truncated to 50 characters in the Anthology Student application.

Student Accounts Configuration to Show Expected Funding
The General tab of the Campuses > Student Accounts page now includes an Expected Funding section. Here, staff members, have the option to configure the fund sources that are to be displayed on the student’s ledger card.
If the Show Expected Funding check box is:
- Cleared, the fund sources grids will not be visible
- Selected, the following grids will be displayed:

- Grants — Fund source types: PELL, GRANT, SCHOLAR, ACG, SMART, TEACH
- Loans — Fund source types: LOANNB, LOANNNB, PLUS, SUB, UNSUB, DIRSUB, DIRUNSUB, DIRPLUS, PERKINS
- Student Payment / Other — Fund source types: CASH, OTHER
The grids will list only active fund sources. If a fund source was active and configured at one point but then disabled, it will not appear. If the fund source is re-enabled, the last configuration persists.
Staff members can select whether the ledger card should display the award fund sources in Estimated, Approved, or Pending Approval status. When the Estimated, Approved, and Pending Approval check boxes are selected in line for a specific fund source, the system displays disbursements in Scheduled and Ready To Pay statuses on the ledger.
Staff members can toggle the grid display using the Expand All/Collapse All link and clear all previous configurations in the grids by selecting the Clear Selection link.
The Transactions tab on the Student Ledger provides the Show Expected Funding/Hide Expected Funding toggle button to view or hide transactions for expected funding in the grid.

New Selection Criteria Option: Range of Last Name Initials
The Selection Criteria on the Refunds/Stipends page now include the option to specify the initials for a range of last names. There funds/stipends process will gather refund/stipend records for students with last name initials that match the specified range of initials.
Examples: To search for last names starting with "A" and "B", specify a in the From field and b in the To field. To search for last names starting with "C", specify c in the From field and c in the To field.

Self Service Portal Account Summary
The system determines the current term based on the term start date closest to the system date (today’s date). That term is used to filter all areas of the Account Summary page.
The top of the page provides a quick overview of the student's account summary, indicating the:
- Posted Balance
- Pending Charges for the current term (if configured by your institution)
- Expected Funding for the current term (if configured by your institution)
- Estimated Balance with Make Payment option (if configured by your institution)
These values are the result of the following calculation:
Posted Balance - Pending Charges and/or Expected Funding = Estimated Balance

The detailed information below the account summary ribbon is displayed in the following sections that can be expanded or collapsed.

The Account Information link at the bottom of the page provides access the pages for other account details, such as My Statements, Registration Bill, and Subsidiary Statement (until the redesign is complete).
